EPFO passbook provides a detailed view of transaction details in the EPF (Employees' Provident Fund) account of an employee, including the contributions made by the employer and employee, interest accrued, and withdrawals (if any). It is an online version of the traditional passbook, enabling employees to access and track their EPF account information easily. How to Access and Download EPF Passbook 

You can easily download your PF passbook online through two main methods: the official EPFO Member e-Sewa Portal or the UMANG mobile app.

Before you start, ensure you have:

  • Your Universal Account Number (UAN) is activated.
  • A password for your UAN account.
  • Your mobile number is linked to your UAN.

Method 1: Via the EPFO Member e-Sewa Portal

This is the most common and comprehensive way to access your passbook.

  1. Visit the official EPFO website: Go to [https://passbook.epfindia.gov.in/].
  2. Log in:
    • Enter your UAN (Universal Account Number).
    • Enter your Password.
    • Complete the Captcha verification.
    • Click on the "Sign In" button.
  3. Access your Passbook:
    • Once logged in, navigate to the "View Passbook" or "e-Passbook" section.
    • If you have worked for multiple employers, you might see several "Member IDs" linked to your UAN. Select the Member ID for the specific EPF account you wish to view.
  4. View and Download:
    • Your EPF passbook will open in a new tab, typically in PDF format.
    • Look for a "Download Passbook" or "Download" icon/button to save the PDF to your device.

Important Notes for the Portal:

  • The passbook facility becomes available usually 6 hours after UAN activation.
  • The passbook entries are updated by EPFO after your employer files the Electronic Challan cum Return (ECR) for contributions. There might be a slight delay in updates.
  • You cannot access the passbook if your account is "Inoperative" or "Settled" (full withdrawal made).

Method 2: Via the UMANG App

The UMANG (Unified Mobile Application for New-age Governance) app offers a convenient way to access many government services, including EPFO.

  1. Download the UMANG App:
    • Go to the Google Play Store (for Android) or Apple App Store (for iOS).
    • Search for "UMANG" and install the official app.
  2. Register/Log in:
    • If you're a new user, register using your mobile number and set up an MPIN.
    • If you're an existing user, log in using your registered mobile number and MPIN.
  3. Find EPFO Services:
    • On the UMANG app's home screen, use the search bar and type "EPFO".
    • Select "EPFO" from the search results.
  4. Access Passbook:
    • Under "Employee Centric Services," tap on "View Passbook."
    • Enter your UAN and the OTP received on your registered mobile number.
    • Select the relevant Member ID (if you have multiple).
  5. View and Download:
    • Your EPF passbook will be displayed. You should find an option to download it as a PDF.

Components of EPFO Passbook

The EPFO Passbook contains various components, the list of which is given below:

  • EPF Account Number: This is the main component of the EPFO passbook. The format of the account number is alphanumeric. The number denotes the State, Regional Office, Establishment Code, and Member Code.
  • UAN Number: The Universal Account Number, i.e., UAN, is a 12-digit number that is issued on enrolment to EPF. It is mandatory for the new member and organisation to obtain this number and get it activated. All the member IDs are linked to the UAN. UAN is an identification number for your EPF account and is required for all further transactions, including viewing of your EPFO passbook. All EPFO members will be given a UAN member passbook and a UAN portal passbook.
  • Primary Details: Details like the Establishment ID, along with the name and address of the establishment, name of the member, date of birth, and the date of joining the establishment, will be available in the EPFO passbook.
  • Opening balance: The opening balance that constitutes the total contribution along with the interest earned during the financial year will be displayed under both the employee as well the Employer’s Column.
  • Contribution: The contribution done monthly will be displayed under both the employee as well as the employer’s columns. The EPS contribution will be shown separately.
  • Interest: Interest will be calculated for both the employer’s contribution and the employee’s contribution on the basis of the monthly balance and will be credited at the end of the financial year. The applicable rate of interest will also be mentioned in the passbook.
  • Withdrawals: Any EPF withdrawals made in the account will also reflect in the UAN passbook.
  • Closing balance: The closing balance constitutes the total employees’ and employer’s contribution,s along with interest earned, and will be carried over to the next year.
  • Voluntary Provident Fund:  Any contribution to the EPF account made beyond the stipulated 12% will be covered under Voluntary Provident Fund and will be shown separately in the passbook.

Common Issues and Rectification for EPFO Passbook

Here’s the list of common issues faced with the EPFO passbook and the ways to rectify them:

  1. Issue: Message shown as “Passbook Not Available or Showing Error”
    Rectification: Activate your UAN through the EPFO portal, ensure your employer has updated KYC and linked your UAN, check with HR/ employer to verify if contributions are being made, and then try accessing your account after at least 6 hours to check if changes were recently made or not.
  2. Issue: Incorrect personal details (such as Name, DOB, Father’s Name)
    Rectification: Visit the UAN Portal, go to the “Manage” tab, and then the “Modify Basic Details” section. Or you can raise a correction request via the EPFO grievance portal i.e., https://epfigms.gov.in.
  3. Issue: Mismatch in the amount of contributions
    Rectification: Download wage slips and then compare with EPF entries. If the mismatch persists, you may file a complaint through the EPFiGMS Portal/ EPFO Regional Office/ contact the employer’s payroll/HR team.
  4. Issue: Passbook not updated with recent contributions
    Rectification: Contributions made towards EPF may take up to 2 months to reflect in the PF login passbook. If there is a delay of over 3 months, you can escalate the matter to your employer, EPFO Helpdesk, or Grievance Portal.
  5. Issue: Multiple Member IDs not merged or contributions split across different Member IDs (mainly happens due to job changes)
    Rectification: Use the “One Member - One EPF Account facility available on the UAN portal or file a request for transfer under the "Online Transfer Claim Portal" option.
  6. Issue: Claim settled, but isn’t reflected inthe  EPF passbook
    Rectification: The Claim amount reflects post-settlement and account reconciliation, which usually takes a few days. If the details are still not updated in a 10 to 15-day period, you may lodge a grievance.
  7. Issue: KYC pending/ not updated
    Rectification: Update your Aadhaar, PAN, and bank details on the UAN portal under the “Manage > KYC” section. Make sure your employer approves the KYC.
  8. Issue: Passbook not opening on mobile
    Rectification: Use Chrome/Safari browser in desktop mode and avoid opening in the app. Use the EPFO website directly. Make sure you clear your cache or try incognito mode.
